SUMMARY:

Supports Human Resources and Payroll functions by performing a wide variety of clerical and administrative duties; with focus in areas of recruiting, new hire orientation, special events and maintain timekeeping accuracy through payroll system.

Essential Duties & Responsibilities

Payroll:

  • Utilizing payroll software, oversee facility employee timesheets to comply with Company policies and procedures to ensure accurate and thorough reporting of time worked, approved leaves of absences, and applicable approved pays.
  • Coordinate with temporary agencies for updates to temporary employees’ profiles such as reporting supervisor, ID badge for access to facility and rehire status.
  • Update Employee personal information such as address, phone number, Account Contacts
  • Support supervisors in managing employee performance.
  • Administer the Time/Attendance program ensuring accurate records of employee hours, schedules, departments, and attendance.
  • Scans, maintains accurate and timely employee files in human resources system.
  • Monitor leave requests and workflow in UKG/HRIS system
  • Upload benefit deductions following benefit elections
  • Assist employees with UKG/HRIS in all areas of use including workflows in payroll, employee leaves, and benefits
  • Assist with reconciliation of benefits deductions to vendor billing
  • Ensure company policies, procedures, and workflows in HRIS are followed to guidelines and best practices
  • Effectively communicates with a variety of internal and external stakeholders using multiple tools to ensure effective and verbal visual communication.
  • Perform similar level or nature of duties as assigned.
  • Assist with data entry on special projects related to payroll system.

Human Resources:

  • Support HR goals and objectives to create a safe work environment, compliance of federal, state, and local laws, and Company policies and procedures.
  • Answers, screens, and directs inbound calls as well as internally by using semi-automated phone system.
  • Greets customers, visitors, and vendors, assists and routes them accordingly.
  • Updates company phone directory as well as sort and deliver mails, faxes, and packages.
  • Support HR personnel with monthly socials, and special events
  • Performs other job duties as assigned.

Qualifications:

Required Education and Experience:

  • High School Diploma or G.E.D. and one year experience in a similar position

Knowledge of:

  • Federal, state, and local laws, rules, and regulations surrounding payroll.

Skill in:

  • Using computer hardware, including keyboard, mouse, monitor, and related hardware
  • Microsoft Access, Word, Excel, Power Point and Outlook

Ability to:

  • Exercise discretion, good judgment, and sensitivity with all levels of employees
  • Excellent written and verbal communication skills in English, Spanish and/or Japanese preferred but not required.
  • Must have high-level organizational skills, be multi-tasking and detail oriented.
  • Must have the ability to perform each essential duty satisfactorily as well as be able to work under pressure. Work well with others as well as independently

Heavy work: Activities will involve frequent standing and walking and communicating verbally and in writing. Exerting up to 50 pounds of force occasionally, up to 25 pounds of force frequently, and up to 10 pounds of force constantly to move objects. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Correct visual acuity to 20/20. Physical ability to move body quickly to avoid moving mechanical parts and/or heavy machinery.

The work environment is frequently within the manufacturing and distribution plant consisting of moving mechanical parts or heavy machinery, vibrations, fumes, unpleasant odors, dust, poor ventilation chemicals, extreme temperatures, inadequate lighting, workspace restrictions, and moderate to loud noise while in the plant or travelling for work. Work during evenings and weekends as needed.
